Arvada Harvest Festival

Gypsy Farmhouse Market at the Arvada Harvest Festival

  • The Arvada Harvest Festival runs from September 7 - September 9, 2018.  Gypsy Farmhouse Market is on Saturday and Sunday - September 8 & 9.  The theme of the Harvest Festival this year is Celebrate the 60s.

  • It is located in Olde Town Arvada.  The market is in McIlvoy Park, on Upham Road between Grandview and Ralston.

  •  If you prefer a booth on the main thoroughfare, Grandview avenue, those must be reserved and purchased through the committee.  Here is the link to the website.     The market in McIlvoy park is not open to commercial booths or concession food.  If you wish to participate in the market in the park, you must have cash & carry inventory to sell.

  • This is an outdoor market.

  • Market hours are:

Saturday 9/8

10 am - 5 pm

Sunday 9/9

11 am - 3 pm

  • The Harvest Festival runs until 11 pm on Saturday night and until 6 pm on Sunday night.   You are welcome to stay open as late as you would like, but there is no electricity in the park.  The 5k run finishes up in the park on Saturday morning at 9 am, so you are welcome to open early if you would like, however no set up can take place before 7 am.

  • All booth spaces are 10 x 10. You are not required to have a tent, but it was very hot last year and you will definitely want one.  Your tent legs must be weighted with at least 20 pounds per leg.

  • I do not have a way to provide you with WiFi in the park.  Please be aware that you will have to do business without it. Most vendors run credit cards using their cellular service in situations like this.

  • The festival is a rain or shine event. More than likely it will be very hot, but should it rain, and therefore attendance is low, there will not be any refunds.

  • Booth sharing is allowed by no more than two vendors in one 10 x 10 booth.  Both vendors must complete an application and be approved by Gypsy Farmhouse Market.  The vendors' products must compliment each other.  Direct sales vendors are not permitted to share a booth.

  • You are welcome to leave your booth setup over night as there will be light security at the Festival. However, neither the Harvest Festival nor Gypsy Farmhouse Market can be responsible for your items.  Definitely do not leave your cash box or any valuables in your tent.

  • Load in times are as follows:

7 am - 10 am

8 am - 11 am

    • Load in and load out for this market are a bit challenging because so many of the streets are closed around the festival.   You will find a cart invaluable.  Vendor parking is about 3 - 5 blocks from the park.  There is a loading zone close to the park that can hold 3 - 5 vendors at a time, however you cannot park there.  The festival committee does provide golf carts to drive vendors back and forth, but there may be a wait.

    • Booth fees are as follows:

    Saturday only

    Sunday only

    Saturday and Sunday

    • If you sign up for both days before July 30th, you have the option of paying for your booth in two installments.  The first payment is due within 5 days of receiving the invoice and the second by August 15th.

    • You may not pack up your booth and leave early, even if you are having an unlucky day without sales. I understand how frustrating that can be (and have been there myself) but out of respect for the guests of the fair and your fellow vendors, in addition to the safety concerns, you may not pack up early.  The above booth fees include a deposit of $15.  If you keep your booth open for all registered days until the posted times, you will receive a refund of $15 via PayPal within 10 days after the fair.  If you do pack up early, you will not be able to participate in future Gypsy Farmhouse Markets.  If you are previous vendor of mine with good attendance, I will wave this deposit.

    • Please come prepared for crazy weather. As you all know, the weather can change very quickly in Colorado.

    • It is each vendors responsibility to collect and submit city, county and state sales tax.    I may be asked for a list of vendors, so please ensure that you submit your sales taxes.

    • Last year, attendance for the weekend at the festival was about 40,000.   About 10,000 made it down to the market.

    • The Harvest Festival has advertising planned on flyers in local businesses, road signage, local papers and social media. They will advertise our market in a portion of that advertising.  Additionally, this is the 93rd annual Harvest Festival and it has a strong following.

    • Gypsy Farmhouse Market will also promote via social media and email. Additionally I will run a promoted Facebook event ad for the two months prior to the market.  Lastly, each vendor that signs up and pays for their booth by August 20th will get a “vendor spotlight” on GFM social media.  Gypsy Farmhouse Market has social media profiles on Facebook, Twitter and Instagram.  At a minimum, all vendors that meet the above criteria will have a spotlight on Facebook.    Some will also receive spotlights on Twitter and/or Instagram.

    • It is very important that you realize your role in sharing the event with friends, family and neighbors. Our market gets more exposure if we all share the event on social media.

If you would like to participate, please complete and submit the contract below.  Before completing the contract, if you have not yet filled out a vendor profile form in 2018, please do so.  You can find the form here.
